Personal Data Protection Act ( PDPA ) Policy

Daniel International School (“the School”) is committed to comply with the Thailand Personal Data Protection Act (PDPA) in protecting our students’, parents’, and school employees’ personal information which has been processed by the school. This Privacy Policy informs you about the School’s policies and practices about data privacy matters. Thus, we provide this privacy notice to inform you of our policy in relation to the collection, use and disclosure of personal data of individuals (“you”) in accordance with the Personal Data Protection Act B.E. 2562 (“PDPA”), relevant laws and regulations.

The basics

In this Data Protection Policy, “Personal Data” refers to any data or information from which a person can be identified. “Personal Data” includes any data provided by you whether directly or indirectly. The PDPA applies to both digital and physical data, and includes information such as school application or registration forms, enquiry forms, other school services related forms, previous qua lification related documents and/or certificates, previous educational institutions, law enforcement agencies and other government entities, and data which may be collected from cookies, applications or forms through the school’s website and the third party service providers that the school uses such as the FACTS link on the school website including phone numbers, addresses, email addresses, or anything that might enable identification of the data subject.

Purpose of this privacy notice

This privacy notice informs you of how we collect, process, or disclose your personal data, what and why we collect, process or disclose your personal data, your rights, what steps we will take to make sure your personal data stays private and secure, and how you can contact us.

Collection of personal data

The school needs to collect and process your child’s and your personal data for various academic, educational and administrative purposes. Generally, the type of personal data, and sensitive personal data, which we collect, process or disclose shall include but not limited to:

Note that we may process your personal data for more than one lawful basis depending on the specific purpose for which we are using your data.

How we use personal data

Daniel International School may collect, process and/or disclose personal data in various ways, including, but not limited to:

-During the process of applications for admission, tuition fees, school payments, employment including usage of ID cards and the cashless system.

-For usage during regular school-day and after-school activities as well as school events, including publishing companies, photo-taking companies, and any other future third parties in relation to the above,

-Management of facilities usage such as the library hub, science lab, food and nutrition lab and other laboratories,

-Maintaining administrative support, counseling, and guidance services,

-For usage in administering graduation and alumni related events,

-Maintaining communication with students and parents through announcements,

-Contacting student’s parent or guardian in case of emergency, caring for the medical needs of students and staff, ensuring that medical needs are met including providing information to the hospital,

-To be used for security CCTV or security related requirements,

-For usage of any technology or technological services of any kind in the school and any other related provision of service e.g., the supply of computers, iPads, etc.

-For use in the third party service providers that the school uses such as FACTS, Google Meet, Google Workspace, and other google app services, and other services that the school uses for education.

-For marketing purposes on the school website, school social media channels including facebook, instagram, line, youtube, and other school announcements, including posting photos in newsletters and publications,

-Through the interaction with Daniel International School staff for official purposes,

-Disseminating information regarding school programmes to the school community,

-For the use of student data analysis and progress monitoring,

-Provide education services, track progression of students and evaluate student’s growth during the academic year including counseling and pastoral care,

-For the purposes of strategic plan review, planning, implementation and review academic policies and guidelines,

-During the process of and maintaining various schools accreditations,

-Conducting financial reports and analysis related to the center operations, internal and external audits,

-Managing the infrastructure and business operations and complying with internal policies and procedures, including legal representation

-Visa and work permit purposes, as well as archival of documents and records,

-For any other purposes related to the smooth and successful operation of the school,

-Any other purposes which the school may notify you of at the time of obtaining your consent.

Disclosure of your personal data

We sometimes need to share your personal Information with third parties (this can involve third parties disclosing personal Information to us and us disclosing personal Information to them).

We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We request that our third-party service providers use your personal data for their own purposes and ask them to process your personal data for specified purposes and in accordance with our instructions.

Legitimate Clause

Upon any legal obligations of the school or agreements between you and the school, we retain our legitimate interests and right to collect and use your personal data with the school and any third party-services relating to the school’s purposes, either with or without your consent, under the PDPA. In a case where you refuse to provide such personal data upon our legitimate request, we may not be able to provide or continue to provide you with some or all of the school’s products and/or services.

Administration and Management of Personal Data

Daniel International School will take reasonable effort to ensure that your personal data is accurate and complete. However, you are required to update Daniel International School of any changes in your personal data that you had initially provided.

Daniel International School will not be responsible for inaccurate or incomplete personal data arising from you not updating Daniel International School of any changes in your personal data that you had initially provided.

Daniel International School will also ensure that your personal data is adequately protected and secured. Appropriate measurements will be taken to prevent any unauthorized access, collection, use, disclosure, copying, modification, leakage, loss, damage and/or alteration of your personal data. However, Daniel International School cannot assume responsibility for any unauthorized use of your personal data by third parties which are wholly attributable to factors beyond Daniel International School’s control.

Daniel International School will only retain your personal data in accordance with legal, accounting, reporting requirements, business and operational obligations. By law we have to keep your basic information for 1 year after they cease being customers for tax purposes. In some circumstances we may use your personal data and information anonymously for research or statistical purposes without further notification. When Daniel International School ceases retention, the personal data will be disposed of in an appropriate manner.

Disclosure of Your Personal Data

Daniel International School will keep your personal data confidential unless you have given the written consent to such disclosure.

This Policy may be reviewed and amended from time to time. We will communicate such changes along with the updated policy on the school website, and/or through other appropriate communication means as may be determined by the school. Parents and students are advised to visit the school website on a regular basis to check for any updates or changes in this notice. Daniel International School, reserves the right to charge you an administrative fee for processing any data access request if need be.

Withdrawal of Consent

Withdrawal of consent for the collection, use and/or disclosure of personal data in Daniel International School’s possession can be made in person at the Daniel International School office, by telephone or by email to admissions@dischool.ac.th

From such a request for withdrawal of consent being made, Daniel International School will process the request and thereafter not collect, use and/or disclose your personal data in the manner stated in your request. Please note that with the withdrawal of consent to any or all use or disclosure of personal data, Daniel International School may not be able to provide certain products or services to you. Such withdrawal may also result in the termination of any agreement with Daniel International School.

Access and Correction of Personal Data

Requests can be made to have access to or make corrections to personal data records, but Daniel International School has the right to charge a reasonable fee for processing such a request. Such requests can be submitted in person at the office, by telephone or by email to admissions@dischool.ac.th

Change of purpose

We will only use your personal data for the purposes for which we collected it unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose.

If we need to use your personal data for an unrelated purpose, we will notify you and we will explain the legal basis which allows us to do so.

Please note that we may process your personal data without your knowledge or consent, in compliance with the above rules, where this is required or permitted by law.
